Your assessment and quote request

You enter the property address first. VERA starts assessing that property while you add your name, email and phone number. Before contact screening, this browser can see only assessment progress and an aerial property view, not the full solar results. You can optionally tell us about your ownership, installation plans, battery interest and electricity use. We screen your email for invalid formats and known disposable addresses, and your phone number for invalid formats and known dummy ranges. Screening does not prove who owns an email address or phone number, or whether either is reachable. No email-link or SMS verification is required to get your results.

We store your details, notice version, assessment reference, request status and a limited summary of the assessment in VERA's own lead database so we can prepare and follow up your requested quote. We do not send these enquiries to Energy Helper or automatically distribute them to installers. This service does not connect your smart meter or collect half-hourly readings.

We use this information to take steps at your request towards a tailored installation quote. We use legitimate interests to secure the service and prevent misuse. Receiving an assessment does not require promotional consent. If you separately opt in, we may send VERA news and offers; you can withdraw that consent by contacting us without losing access to your request.

Suppliers and property data

Our hosting, database and email suppliers process information needed to provide the service. AWS operates the website backend and email delivery; the VERA lead database is hosted on Render in the EU. Address, mapping and solar-data services receive the property information needed for analysis, without your name, email or phone. A property assessment is an estimate and requires confirmation before installation.

Where suppliers process information outside the UK, we use applicable safeguards such as adequacy arrangements or approved contractual safeguards. We do not sell your contact details.

Sharing a design with an installer

You can ask our team about installer recommendations or create a link to send to an installer you choose. Creating a link shares the property address, assessment and your selected panel choices with anyone who has that link. It does not include your name, email, phone, qualification answers or quote history. Links expire after seven days and you can switch off all links for an assessment from its results page. Switching off a link stops future access through VERA; it cannot remove copies a recipient has already saved. We store a hash of the link token, an assessment reference, a fingerprint of the design and the selected panel IDs, not a duplicate of the imagery. Opening an email draft does not send it: you choose the recipient and send it from your own email app.

How long we keep information

Anonymous preview records expire after one hour and are deleted at the next successful cleanup. The assessment engine may retain the property assessment under its separate retention limits. If you submit your details, the preview is associated with your quote request without starting a second assessment. Shared-link records are removed after their seven-day expiry.

Quote enquiries and their results are retained for up to 24 months after your last sign-in or assessment request. Unverified registrations without a quote enquiry are removed after seven days. Installer enquiries are retained for up to 24 months. You can ask for earlier deletion where applicable.

Existing account-recovery email links expire after 30 minutes and can be opened again within that period. We store only a hash of the token; expired link records are cleared after a day. Essential sign-in sessions last 30 days. Short-lived rate-limit records contain keyed hashes rather than raw contact details and expire after two days. Cleanup runs periodically, so deletion follows the expiry time at the next successful maintenance run.

The retained quote summary excludes aerial images, raw mapping data and temporary download URLs. Access to the interactive assessment and its imagery can expire sooner than the quote record. These media are governed by the assessment service's separate retention limits.

Cookies, security and measurement

An essential HttpOnly, Secure preview cookie lasts one day and protects the anonymous assessment before contact capture. A separate essential cookie lets this browser access your results for 30 days. Entering the same email in another browser does not unlock earlier enquiries. Browser session storage keeps a request reference while you submit an assessment, preventing duplicates on retry. We keep aggregate daily counts of journey events; these do not contain your contact details, property address, full browsing URL or an analytics visitor ID. This site does not set advertising cookies.

Optional analytics

With your permission, we use Google Analytics to understand visits, traffic sources and progress through the quote journey. Google receives a pseudonymous cookie identifier, technical browser information, a general location derived from your IP address, public page paths and named actions such as starting an assessment or saving an enquiry. We do not include your name, email, phone number, property address, assessment identifiers, link tokens or form contents in analytics events. Automatic form tracking, Google signals and advertising personalisation are disabled. Analytics is optional: rejecting it does not affect your assessment or quote. The Google tag loads only after you accept analytics.

You can accept or reject analytics using the cookie panel and change your choice at any time using Cookie settings at the bottom of each page. We remember that choice in your browser for 180 days. Analytics cookies (_ga and _ga_CH99TTPJSJ) also expire after 180 days; withdrawing permission stops analytics and removes these cookies from this site. Google Analytics event-level data is retained for two months; aggregate reporting can be retained longer. Google may process this information outside the UK under its applicable data-processing safeguards. See Google’s privacy information at Google’s privacy policy. We use encryption in transit, access controls and protected infrastructure to safeguard information. Only authorised staff and service providers should access personal enquiry records.

Your rights and complaints

You may request access, correction, erasure, restriction or portability of your information, object to processing, and withdraw consent where processing relies on it. Contact privacy@vera.solar. We respond within one month, with any permitted extension explained to you. We may need to confirm your identity before disclosing or changing records.

You can complain to the Information Commissioner's Office at the ICO complaints service. This service is intended for adults researching a property installation. We update this notice when our processing changes and display the date above.
